Administrative Assistant – Sessional Kindergarten

The role is responsible for assisting the Committee of Management with the efficient administration of the service in accordance with all applicable legislation. The role requires experience in the administration of records, financial accounts, and administrative procedures. Proficiency in Xero, Microsoft Office suite and Google Workspace is highly regarded. An understanding of requirements set by the Department of Education is also highly regarded. The Administrative Assistant is accountable to the Committee of Management (employer) and works closely with the Director of the Kindergarten.

Salary range: Commensurate with experience – Clerks Private Sector Award 2020
Employment type: Permanent part-time – 12 hours per week (Either a Monday or Wednesday is required)

About the Kindergarten

Clyde Street Kindergarten (CSK) has been part of the Darebin Community for more than 60 years. It is a community focused kindergarten run by an active parent Committee. CSK offers 3 and 4 year old child centred, stimulating play environment in partnership with families. The kindergarten program is planned and delivered by qualified and dedicated Early Childhood Teachers. CSK principles of inclusion and respect are embedded into daily activities and practices with the children, families and staff.

Skills and Experience

Key skills and experience sought include:

  • Ability to prepare budgets, reconciliations, and day-to-day financial management of the service
  • Familiarity with Xero, Microsoft office suite and Google Workspace
  • Experience with enrolment enquiries and procedures
  • Experience in bookkeeping, administrative work, knowledge of office procedures, filing and
    record management
  • Ability to work as a member of a team and with the committee, and effective communication skills, including both written and verbal skills
  • Ability to plan, work and manage time effectively with limited direction and supervision
  • Accountabilities

Financial

  • Assist the treasurer in preparing the annual budget
  • In conjunction with the treasurer, compile monthly reports, such as income and expenditure compared with budget and balance sheet
  • Operate within the budget allocation and financial policies and procedures of the service
  • Prepare and process the fortnightly payroll in accordance with the VECTEA award
  • Submission of IAS (monthly) and BAS (quarterly)
  • Invoicing and reconciliation of all accounts payable, fees, and general invoicing
  • Check and maintain payroll reports, including tax, sick leave, long/portable service leave and superannuation
  • Preparation (in collaboration with our accountant) of end of financial year accounts

General

  • Assist the committee to meet the requirements set by DET within the required timelines, including health care card numbers and rebates, financial accountability requirements and all data collection forms (KIMs System, Funding Agency System). Check and respond to emails in a timely manner
  • Deal with enquiries on the phone or in person
  • Liaison with external organisations such as the Department of Education and Training (DET), Darebin Council and ELAA as directed
  • To be familiar with, and adhere to, all policies and procedures of the service
  • Ensure Child Safe Standards are adhered to at all times
